Order Entry, Confirmation of Customer Requirements

Orders are received by facsimile, e-mail, US mail and by telephone. Most customers specify their requirements by either part number or description or request the duplication of a previous order. Part numbers are matched against electronic records of previous orders. Part descriptions are also often compared to prior orders to reduce incorrect information errors.

Requests for new belts come from customers that either have determined what size and material will work properly for them, or they may ask our assistance in belt selection and provide pulley diameters, pulley center distances, load levels and any particular exposure information. Samples of belts may be provided on a no-charge basis to determine if the belt is appropriately suited for this new application. Customers are informed that only their tests and evaluations can determine suitability for their specific application.

Pyramid prides itself on, and is known for, providing exceptional service. However, we are not a stocking distributor and many belt sizes must be manufactured upon demand. When an order is received, inventory is checked. If the belt or cord is in stock, the order is scheduled to meet the customer’s delivery requirements. If the belt is not in stock, production will be scheduled to meet the customer’s delivery schedule or, in some cases, we will ask to have the schedule adjusted accordingly.

Occasionally, customer requirements are such that we will need to negotiate shipping schedules to allow for production time and to arrive at a mutually agreeable delivery schedule. Personnel taking orders can discuss rush order shipping schedules with the Production Manager or Supervisor before order acceptance to determine deliverable shipping schedules, if necessary.

Order entry is made and cross-checked at several points to ensure proper information is entered into our system. Once the order hits the production floor and is scheduled for production, the appropriate material is retrieved and goes to the cutting area.

Following are descriptions of the various checks and controls deployed throughout the production process, to ensure that we ship product that meets or exceeds our customers’ usage requirements.
